General Terms and Conditions:

  • Company holds the right to make changes in the program itinerary due to force majeure any unforeseen circumstances, natural calamities, riots, or situations beyond human control etc. The company will not be liable to pay for losses incurred due to any such situations leading to the termination or postponement of the immersion program.
  • Any change or waiver to the terms of this MOU or its conditions shall be made only with the mutual written consent of both ITM and VEPL. Neither party may amend the terms unilaterally.
  • Changes in Terms and Conditions: Any change in the VEPL Terms & Conditions will be informed beforehand to the other party in writing. However, VEPL reserves the sole right to amend its terms & conditions. In case the amended version overrides the previously agreed terms & conditions, the same shall be discussed and a mutually agreeable solution will take effect.
  • All bookings must be made on a pre-payment basis (i.e must be paid 100% in India before the passenger departs.
  • All rates are subject to a revision in case of a change in the exchange rate, change in airfare /train fare /bus ticket, increase in fuel charges, any change in the existing tax structure or any sudden change in hotel tariffs etc.
  • No amendments are allowed after the commencement of the travel program or during the tour under any circumstances.
  • In case of group booking with an airline, deviation is not permitted i.e. travelers are not allowed to change the travel date, destination etc. Any such deviations or changes in the travel program from the customer’s end will lead to a change in the tour cost and an additional cost based on fare difference or applicable fare shall be paid over and above the tour cost.
  • In case of loss of passport during the tour leading to any change in travel plans, an extension of stay, charges for reissue of passport/ landing card or any additional expenses etc will have to be borne by the client/passenger.
  • Travelers must inform the company in writing about any pre-existing disease /illness. The insurance company & VEPL are not liable to pay for any medical expenses accruing from such pre-existing illness.
  • All the travelers must adhere to the timings given by the program co-ordinator or as mentioned in the itinerary. VEPL is not responsible for any kind of refund or reimbursement for unutilized sightseeing activity or ticket due to delay from any traveler.
  • VEPL will not be responsible for any missed connection of flight/ train/ bus (International / domestic) due to whatsoever reason. In such a case, the travelers will be responsible for bearing the cost for new flight / train/ bus tickets or rescheduling charges or penalties, VEPL will not be liable to compensate for any such losses.
  • An individual traveler is responsible for maintaining the decorum of the tour. Travelers should ensure that they will refrain from indulging in any such activity which is not legal or which violates the laws of the particular country. VEPL will not be responsible for any legal action against any traveler for his/her acts.
  • VEPL will not be responsible for any mishap during the tour due to any reason whatsoever.
  • VEPL will not be responsible for any damage to any property/Coach/Van etc during the travel. The losses for the damage will be borne by the individual traveler responsible for the damage or collectively the entire group will have to bear the cost for damage/repairs.
  • In case of canceling/ discontinuing from the ongoing tour due to whatever reason, VEPL will not be liable for any refunds or charges for rescheduling the flight/bus/train ticket.
  • In case of quarantine (If applicable), it will be the responsibility of the traveler to bear all the accommodation costs and adhere to the rules of a particular country. VEPL will not be responsible & liable to pay for accommodation costs in case of Quarantine.
  • Customers will not be able to ask for last-moment/ minute changes in tour itinerary.
  • For group travelers, a coordinator shall be nominated by the respective institute/ college / University/organization and the details of the co-ordinator shall be shared with VEPL.

Itinerary

  • VEPL shall provide a draft itinerary 90 to 120 days before travel and submit the final itinerary for ITM’s approval at least 15 days prior to departure.
  • No changes may be made after approval without ITM’s written consent. If operational changes are necessary, VEPL shall offer equal or higher-value alternatives at no extra cost to ITM or participants.

Booking Confirmation:

  • A booking is confirmed only after the payment of the booking amount is credited to the company’s account.
  • In case of a delay in booking /registering for the proposed program/ tour beyond the deadline for booking / registration, VEPL cannot guarantee the booking for the program/ tour at the same cost quoted earlier. In case there is availability of seats, there will be a revision in the cost.

Payment Terms and Conditions:

  • For the services contracted, a minimum deposit of 50% or as quoted on the proposal for the specific tour is to be paid to Vijigishu Education Pvt Ltd. The deposit is required to hold the bookings on a confirmed basis.
  • However, during the high peak season (X-Mas, New Year, Diwali etc) and in some other special cases, last-minute tour booking full payment is required to be made at the time of booking itself.
  • Even after making the 50% advance to confirm your bookings, in some cases, you might be required to pay an additional advance amount before the final balance payment date depending upon the contractor/supplier’s payment deadline as and when applicable.
  • In the case of an international tour, 5%TCS (Tax collected at source) on the total cost will be charged extra. TCS Amount collected shall reflect in Form 26AS of the person of which PAN is provided which can be claimed while filing their Income-tax return. Without submission of a PAN card,10% of TCS will be applicable. TCS is not applicable if the buyer deducts TDS.

Balance Payment:

  • Balance payment is to be made 15 days prior to the date of departure. Any delays in the payment might lead to additional charges or cancelations. Especially with airlines, all payment terms and conditions must be fulfilled in the stipulated time frame.
  • Hence, in order to have a delightful experience, kindly adhere to the payment deadlines.

All payments shall be made to “Vijigishu Education Pvt. Ltd”. Payment can be made through NEFT/RTGS/UPI to the below-mentioned bank details

Important note:

Please note that Vijigishu Education Pvt. Ltd (VEPL)employee or agent will not ask for your Card Number, CVV, Net Banking login, Password, OTP, etc. Nor will they ask you to transfer funds to a personal account or to install third-party apps like Any Desk, Team Viewer, etc.

Schedule For Visit Coordination–

Following schedule will be followed for better planning and coordination of the immersion program. All are requested to adhere to the same:-

  • Proposal submission -D minus 120-90( D – Date of Travel)
  • Finalization of Travel Date -D minus 90-75
  • Initial Payment -D minus 90-75
  • Sharing of Personal Info by travelers -D minus 60-45
  • Visa processing - D minus 60-30 or as per visa norms of the Country
  • Balance payment ( 1 0 0 % ) - D minus 20

Cancellation Policy:

  • Standard cancellation policy will be applicable for groups and individuals. All requests for cancellation must be made in writing to the company via email at info@vijigishu.co.in.
  • The cancellation amount is calculated on the total booking amount (tour cost) and not on the advance amount paid. Below cancellation amount is calculated on the Land Package and the cancellation amount for airline booking will be applicable separately as per the airline’s cancellation terms and policy.

  • Cancellation charges are linked to airline, hotel & transport booking policies. Cancellation charges may change with any change from the Airline/hotel/Transport booking policy.

Cancellations in case of Travel Restrictions or Other Circumstantial Interruptions

  1. In the event of a lockdown, government-imposed travel restrictions, or similar circumstances beyond the control of both parties, the tour may be postponed to a mutually convenient date within twelve (12) months or as per the policies of hotels, transporters, airlines etc. All amounts paid shall be converted into a credit note usable for the rescheduled program. Any cost variations arising from third-party price changes (such as airfare differences, hotel tariff revisions, or seasonal pricing) shall be transparently communicated and mutually agreed upon before confirmation. Both parties shall make reasonable efforts to secure maximum value, and VEPL shall endeavour to provide credit for the highest recoverable amount.
  2. In case of canceling/ discontinuing from the ongoing tour due to any whatsoever reason, VEPL will not be liable for any refunds or charges for rescheduling the flight / bus / train ticket.
  3. However, in such cases, refund/ cancellation policy/ rescheduling policy of the respective airline/ hotel/Transporter is applicable for the amount paid towards the air ticket, Hotel Accommodation & Transporter. There will not be any refund for industrial visits, sightseeing activities, prepaid Guide service etc. Vijigishu Education Pvt. Ltd does not hold any authority to make any changes or amendments to such third-party company policies and we will not be liable for any such losses.
  4. The airline will give a refund/credit note only in case the airline cancels the flight. Any cancellations rescheduling from the client for whatsoever reason will be liable for cancellation /rescheduling charges as applicable for the particular booking by the airline.
  5. In case the client wants to terminate the tour and gets a refund-then a minimum 15 % service charge would be applicable on the total cost of the tour package.
  6. The remaining refundable amount, after deducting non-recoverable charges imposed by hotels, transporters, airlines, or other third-party vendors, shall be returned to ITM. VEPL shall make all reasonable efforts to recover the maximum possible amount from third-party service providers and shall provide transparency regarding all deductions. Refunds shall be processed promptly upon recovery from travel partners.
  7. Force Majeure Event means any event or circumstance beyond the reasonable control of the VEPL which prevents, hinders, or delays the performance of its obligations. Such events include, but are not limited to:
    • Acts of God, fire, flood, earthquake, or extreme weather making travel unsafe or impossible.
    • Pandemics, epidemics, or public health emergencies (including COVID-19 and any variants), and related government-mandated lockdowns or travel restrictions.
    • War, terrorism, civil unrest, strikes, or labor disputes (including those involving third-party suppliers like airlines, hotels, transporters, guide, etc.).
    • Sudden changes in laws, border closures, or withdrawal of necessary travel licenses/permits.
  8. If VEPL is prevented or delayed in performing any of its obligations by a Force Majeure Event:
    • Its obligations under this Agreement shall be automatically suspended for the duration of the event.
    • VEPL shall not be in breach of this Agreement nor liable for any loss, damage, or extra expense incurred by the Client as a result of such delay or non-performance.
    • VEPL reserves the right to make reasonable substitutions to the travel itinerary (e.g., alternative hotels or transport) to mitigate the event's impact without further liability.
  9. In the event of a cancellation or significant alteration due to Force Majeure:
    • VEPL makes advance payments to third-party suppliers. Any refund to the Client shall be limited to the amount recoverable by VEPL after deduction of all non-recoverable or non-refundable costs, including airline tickets, hotel deposits, transportation, and administrative charges.
    • VEPL may issue a future travel credit in lieu of a cash refund, valid for a period of [e.g., 12] months from the date of the original trip.
    • In the event of a Force Majeure Event, the Client remains responsible for payment of services already rendered and for any costs or expenses incurred by VEPL prior to the occurrence of such event.

Visa Rules:

  • Granting Visas is purely up to the immigration office, we will not be responsible for any losses if the travel plan is hampered due to delays in visa approvals.
  • VEPL is not responsible for any losses occurring due to delays or rejection in visa. There is no refund for Visa charges paid to the consulate/Embassy & the service charges applied by the respective authorised visa agent of the Consulate / Embassy.
  • Visa processing timelines are determined solely by the respective consulates or embassies. VEPL shall not be held liable for delays or decisions made by immigration authorities. In the event that a visa delay necessitates flight rescheduling or results in penalties, such costs shall be borne by the affected traveller. Both parties acknowledge the importance of applying for visas within the stipulated timelines prescribed by the destination country’s immigration authorities to minimize such risks.
  • All travellers must hold a machine-readable passport with a minimum validity of six (6) months beyond the date of return to India. Travelers are responsible for verifying the accuracy of their personal details on the visa, including name, passport number, and date of birth, prior to travel. Visa approval, delays, or refusals related to security checks, background issues, or immigration decisions remain solely at the discretion of the respective consulate or embassy, and VEPL shall not be held liable for such outcomes.
  • Please check your details (Name, Passport number, DOB, etc) on the visa before you travel.
  • Visa may get stuck due to security reasons or blacklisting; hence we are not responsible for any such type of cases as it is purely subject to immigration approval.
  • All personal details on the Visa should be checked by the traveler and ensure that
    • The details are correct as per the passport and they shall share it with the VEPL point of contact on the same day as received by the traveler for confirmation and rectification if required.
  • In case of special services of Visa like doorstep, premium lounge etc, extra charges will be borne by the traveler/s
  • It is pertinent to note that the finalization of travel dates as per the schedule given above is paramount for the timely processing of Visas which is linked to flight bookings as well.
  • Delay in the finalization of travel dates has a cascading effect on bookings and visa processing. Visas shall be applied at least minimum one month before the travel date or strictly as per the stipulated time frame advised by the Consulate/ Embassy of a particular country. For some countries (Especially for European countries/ UK) sometimes visa appointment dates for groups comes from Consulate/ Embassy, Vijigishu cannot guarantee or hold any responsibility for visa appointment dates/ visa processing as it is centrally controlled by respective Consulates/ Embassy.
  • In case of rescheduling of travel programs due to unavailability of visa appointments/ delay in visa processing for whatsoever reason, Vijigishu will not be responsible for any costs or losses occurring to rescheduling the travel program.
  • Vijigishu will not be responsible for any delay in Visa processing due to website issues or any technical calamity viz. site under upgrade/ breakdown/ crash/or any other technical issue of the Consulate /Embassy or VFS website or website / portal of any authorized Visa facilitator appointed by the respective Consulate/ Embassy.
  • Travelers will be bound to report to the visa application center or the Embassy or Consulate for the visa application appointment or interview required for visa application process, wherever called upon, irrespective of the place of origin or city of residence. Vijigishu will not be responsible for any changes in appointment dates or interview dates allotted by the respective Consulate/ Embassy, nor Vijigishu will bear any costs required to report / to travel to the visa application center / Consulate/ Embassy.

Refunds:

  • Refund (If any) for amendment and /or cancellation will be paid directly to the client. Refunds would take at least 30 working days.
  • There is no refund payable for any unutilized or partially utilized services (e.g.
    • Airline Tickets, Meals, Entrance Fee, Optional Tour, Hotel, Sightseeing, etc.)
    • The refund for the foreign exchange component of the tour will be refunded in INR only and will be at the exchange rate prevailing on that particular day.
  • Third Party refund i.e. Airline, Cruise, Overseas Suppliers could take between 30 to 90 working days.
  • Hotels do not refund for unutilized bed/s in twin /triple sharing rooms if one of the travelers cancels due to whatsoever reason.
  • There is no refund for an unutilized seat in the coach if the traveler cancels for whatsoever reason.
  • Refunds will be made only in Indian INR only as per RBI regulations.
  • There will be no refund for cancellation of the reservation after the commencement of travel.

Jurisdiction :

The agreement/ contract and all the terms and conditions are subject to the jurisdiction of the Pune and Mumbai court only. Any disputes arising in regards to the terms and conditions of the contract would be referred to Pune /Mumbai court only.
